Regulations and policies

Governance and administration

How the Academy is run, and how your information and money are handled.

Governance framework

In effect

Decision-making, the competition office and how regulations change.

  • The Academy board sets strategy and adopts policy. The competition office administers fixtures, rankings, approvals and day-to-day decisions.
  • Regulations are amended by publishing an updated version on this page, with the change effective from the date of publication unless stated otherwise.
  • Disputes about a competition decision must be lodged in writing within seven days of the decision or fixture concerned.
  • Platform access is role-based: players, team leads and Academy administrators see only what their role requires.

Privacy and data handling

Awaiting sign-off

What personal information the Academy collects and how it is protected.

  • This policy requires legal sign-off before publication.
  • The Academy handles sensitive information — health and wellbeing responses, emergency contacts and incident reports — which engages obligations under the Privacy Act 1988 and the Australian Privacy Principles. A compliant privacy policy must be reviewed by a lawyer, not drafted here.
  • What we can state plainly today: wellbeing responses are only ever shown to administrators in suppressed aggregate; emergency contacts and private player details are readable only by the player and their own team's leads; partnership enquiries are readable only by the Academy office.
  • For a privacy request or concern in the meantime, contact the Academy office.

Insurance and liability

Awaiting sign-off

What cover exists for participants, teams and venues.

  • This policy requires insurance broker and legal sign-off before publication.
  • Participants must not assume they are covered for injury, public liability or equipment loss at an Academy fixture until cover is confirmed and published here.
  • Teams should confirm their own organisation's cover for participation in the meantime, and venues should be booked with their own public liability arrangements in place.

Support, donations and use of funds

In effect

How partner contributions are accepted, allocated and acknowledged.

  • Partnership enquiries are received confidentially and reviewed by the Academy office. The Academy provides only a communications and marketplace introduction; any arrangement is made directly between the supporting organisation and the team.
  • A partner may nominate a team or a category of support. The Academy allocates unrestricted contributions where the need is greatest.
  • Accepting a contribution never grants influence over selection, results, rankings or disciplinary matters.
  • A supporter logo appears publicly only after the Academy office adds it and marks it visible. Any showcase is an in-kind gesture at the Academy’s discretion, is not guaranteed, and creates no ongoing showcase or website-link rights.
  • The Academy declines contributions that conflict with its purpose or the standards expected of its member services.
